Annex A — The EDinBOOK Apps: Data, Permissions and Your Choices
This Annex forms part of this Privacy Policy. It describes, specifically, what the EDinBOOK apps for Android and iOS and the EDinBOOK website (edinbook.com) collect, why, who receives it, how long it is kept and how to delete it. Annex last updated: 13 October 2026.
Who we are: EDinBOOK, the operator of edinbook.com and the EDinBOOK apps (Android package com.edinbook.edinbook; iOS app “EDinBOOK”). Privacy questions and requests: contact@edinbook.com.
We do not sell your personal information. The apps contain no advertising and no third-party advertising or analytics SDKs, and they do not use the device advertising ID.
A.1 Account and profile information
- What: your name, e-mail address (your sign-in username), phone number, password (stored only as a one-way hash), member type (for example student, lecturer, publisher), school or institution, department or course, level, country and profile photo.
- Why: to create and run your account, sign you in, show your profile to the classes you join and personalise the books and classes you see.
- Kept: while your account exists; see A.8 for deletion.
A.2 Purchases, wallet and payments
- What: the books, chapters or pages you buy, your wallet balance and top-ups, transaction references, amounts, currency and status. Publishers additionally provide payout details (bank account or PayPal e-mail address) so that earnings can be paid.
- Card details are entered on Paystack’s secure payment page; EDinBOOK does not receive or store your full card number.
- Why: to process purchases, give you access to what you bought, handle refunds and disputes, pay publishers, and meet accounting and tax obligations.
- Kept: financial records are kept for as long as accounting and tax law requires, even after an account is deleted.
A.3 Your content and activity in the apps
- What: the books you open and your reading progress; classes you create or join, class posts, session chat messages; assessments you take and your answers, including any photos, videos, audio recordings or documents you choose to attach; attendance records; tasks, timetables, notes and other study tools you use.
- Purchased books you download for offline reading are stored on your device in encrypted form.
- Why: to provide these features to you and to the lecturers, classmates and institutions you share them with (for example, a lecturer sees the answers you submit to their assessment).
A.4 Precise location (attendance only)
- What: your device’s GPS position and its accuracy, and whether the device reports a simulated (“mock”) location.
- When: only at the moment you mark class attendance, or when a lecturer or approved class representative starts an attendance session. The apps do not collect location in the background.
- Why: to confirm that you are within the class venue’s attendance radius. The coordinates are saved with that attendance record so the lecturer can rely on it.
- Your choice: location permission is optional. If you refuse it, you cannot mark location-checked attendance, but every other feature keeps working. You can change the permission at any time in your device settings.
A.5 Device permissions the apps use
- Location (while using the app): attendance only, as described in A.4.
- Camera: to scan class QR codes and, when you choose, to take photos or record videos you submit as assessment answers.
- Microphone: to record audio answers and voice notes when you choose to. Voice notes can be turned into text by your device’s own speech-recognition service (Google on Android, Apple on iOS).
- Photos and files: only the files you pick in the system picker (for example an answer attachment, a profile photo, or a book a publisher uploads). The apps do not read your storage or photo library otherwise.
- Notifications: to tell you about classes, assessments, purchases and book updates. Optional; the app asks before turning them on, and you can turn them off at any time in your device settings.
- Network, start-up and background sync: to download your books, restore reminders after a restart and finish large book downloads.
A.6 Device, security and technical information
- An identifier generated by the app at installation, used to keep your account to one phone at a time and to protect purchased content.
- A push-notification token from Firebase Cloud Messaging, only if you allow notifications.
- To protect authors’ and publishers’ content, Android blocks screenshots of the app, and screenshots or screen recordings taken in the app on iOS are recorded against your account.
- Our servers record IP addresses and access logs for security and abuse prevention.
- The apps check the App Store or Google Play to see whether a newer version is available.
A.7 Service providers that receive data
Personal information is shared only as needed for the purpose described:
- Paystack — card, bank and mobile-money payments.
- PayPal — publisher payouts, where the publisher chooses PayPal.
- Google Firebase Cloud Messaging — delivering push notifications.
- Google Maps — showing the map on the attendance screen.
- OpenAI — when you use an AI feature (for example note summaries, flashcards, quizzes or questions about a book), the text you submit is sent to OpenAI to generate the answer. AI requests are logged for 90 days for abuse prevention and AI-credit accounting; cached answers are kept for 2 days.
- Your device’s speech-recognition service — converting voice notes to text.
- Our hosting and e-mail delivery providers — running our servers and database and sending account e-mails.
- Lecturers, class representatives and institutions — the class content, submissions and attendance records of the classes you take part in.
- Authors and publishers — sales figures for their own books; they do not automatically receive buyers’ personal information.
A.8 Deleting your account and data
You can delete your account at any time:
- in the app: on the sign-in screen tap Delete Account, or open the menu, choose Account Security and use Delete Account;
- on the website: sign in, open Account Security and use Delete Account;
- or e-mail contact@edinbook.com from the e-mail address registered to your account.
Full instructions: https://edinbook.com/account-deletion.php
When you delete your account it is deactivated immediately and every device signed in to it is signed out. Within 30 days your name, phone number, profile photo and profile details, password, two-factor secret, sign-in tokens, device identifier and notification token are deleted, and the account is shown as “Deleted user”. Records we must keep by law (for example financial transaction records for tax and audit) are kept for the period the law requires and are not used for any other purpose; your e-mail address is kept only as the reference on those records. Posts, messages, assessment answers and attendance records you made in a class stay with that class under “Deleted user” as academic records, and are removed on request. Books already sold to other customers remain available to those customers, as set out in our Terms of Use and Publisher Agreement.
You can also ask us to delete specific data without deleting your account by e-mailing contact@edinbook.com.
A.9 How we protect data
- All data between the apps and our servers is encrypted in transit (HTTPS/TLS).
- Passwords are stored only as one-way hashes; sign-in sessions use short-lived, revocable tokens.
- Offline copies of books are encrypted on your device.
- Access to personal information is restricted to staff and service providers who need it.
A.10 Children
The EDinBOOK apps are not directed at children under 13, and we do not knowingly collect personal information from children under 13 without the authorisation required by law. Younger students should use EDinBOOK only through their school or with a parent or guardian. If you believe a child’s data has been collected without that authorisation, e-mail contact@edinbook.com and we will delete it.
EDinBOOK
